Fleet management is crucial to operational success and is one the largest organisational costs for business.  With 40 years’ experience, AusFleet offers reliable fleet management software for a wide range of industries across Australia. The company serves hundreds of fleet managers and delivers affordable, professional solutions for mining, local government, education, transport and construction sectors.

Comprehensive fleet management

AusFleet is a fleet management software designed to provide a unified platform for managing fleet-related activities. It facilitates operations for fleet managers, workshop staff, drivers, operators, and tradespeople. The software accommodates various fleet types, such as passenger vehicles, heavy plant, small plant, and specialised items and can integrate with finance and GPS systems to offer an adaptable solution.

Adaptable to your specific fleet requirements

AusFleet is scalable, secure and feature rich. With plug-and-play modules designed for modern fleet management. The software includes the following key components:

Fleet: serves as the primary fleet list designed to document ownership, purchase and lease details, photos, physical characteristics, safety and emission ratings. It includes dashboard statistics for each asset, odometer readings, repair and maintenance history, driver allocation, fuel card information, and disposal records.

Reports: provide access to industry standard reports that can be exported to Microsoft Excel. Each report includes options for users to customise their data outputs with selectable columns and filters.

Repair and Maintenance Suite

AusFleet offers comprehensive workshop management, including service scheduling, ad hoc repairs, compliance inspections and a full job history. It provides intuitive search, real-time job status, integrated timesheets with labour charges, plus options for purchase orders, sublets and transport costs. The system supports multiple workshops, advanced planning and email notifications for improved workflow.

Additionally, the R&M suite provides standard connectivity to the AusFleet Mobile app, enabling digital job cards, driver service requests, fault reporting and mobile checklists with results transmitted to AusFleet in real time. This allows defects to be converted into repair jobs and prioritised according to urgency.  Other capabilities include:

  • Pre-start and periodic checklists: Facilitate the management of pre-start and periodic safety, compliance and condition assessments, with offline functionality for use in remote environments. Customisable checklists can be created and assigned to specific assets.
  • Service request and fault reporting: Drivers request maintenance online and report repairs or defects that link directly with your workshop for assessment and scheduling.
  • R&M external bulk job import: If you use external repairers and suppliers, simplify data entry by importing records from a standard format spreadsheet completed by your suppliers — fully configurable by you.

Fuel management: Accurate tracking of fuel use and expenses is essential. Importing or entering purchase data helps customers keep complete records, monitor efficiency, identify savings opportunities and simplify tax reporting. Integrated, precise fuel data also improves decision-making and boosts fleet performance.

Toll and registration renewal management: Efficiently import and verify toll transaction files from all major suppliers. Oversee tag assignment to prevent duplication and maintain comprehensive tag history records. Import and validate renewal details for insurance, CTP, registration, roadside assistance and other services. Features include a “Due for Renewal” dashboard and robust reporting capabilities.

Incidents and accident recording and reporting: Log and report driver infringements to identify training needs for OH&S and chain of responsibility. Record accidents, enter details and repair quotes, and mark hire vehicles as unavailable during repairs to prevent bookings.

AusFleet replacement budget forecasting: refers to a feature in fleet management software that enables organizations to plan and budget for future vehicle replacements. It provides forecasts of up to 20 years based on expected life, utilisation, annual inflation and depreciation for each fleet type. Users may export results for additional analysis if needed.

AusFleet fleet administrator as a service: provides pay-as-you-go support for organisations managing their AusFleet system. It is subscription-based month-to-month service used to address temporary staffing gaps or facilitate ongoing process improvements.

Integration and interfacing

The capabilities of AusFleet’s Fleet Management software are designed to enhance connectivity and data exchange with various complimentary systems.

  • Custom interfacing to third party systems for automated data exchange via our credentialed API’s.
  • Interface to your providers GPS system to collect daily odometer and/or hour readings from your fleet and plant to improve accuracy for utilisation and ensure accurate service scheduling.
  • Interface to Key Watcher Touch® cabinets for secure key storage and issue in conjunction with our pool car and plant equipment booing module.

In summary, AusFleet’s comprehensive suite of fleet management solutions is setting a new benchmark for the Australian mining sector. With advanced integration, robust reporting features and flexible support services, mining operations can drive efficiency, safety and long-term cost savings across their entire fleet. For companies looking to future-proof their operations and stay ahead in a competitive industry, AusFleet is paving the way for smarter fleet management down under.
